With increasing scale, more realisations, more partnerships being established, the process of handling orders, completing projects and selling training, organised in excell sheets took time and required the same data to be entered repeatedly.

In order to automate processes, implement a flexible and powerful management tool in a short time, we proposed a no-code solution in the form of a Notion implementation.

Why Notion?

Notion is a comprehensive project management and work organisation platform that allows you to create databases, notes, calendars, task lists and much more in one place.

As a no-code solution, Notion is ideal for medium and small businesses as it does not require programming skills to implement advanced features.

With an intuitive interface, flexible templates and the ability to easily adapt to the specific needs of the company, Notion enables efficient project and resource management, resulting in increased productivity and work organisation.

We use this tool ourselves and value it highly. Even giants like Pixar, nike and Ford recognise the potential of this tool and use it on a daily basis.

Understanding needs - analysis workshop

But first, as part of the Discovery workshop we implemented, we had to understand the specifics of working in the company.

Together with the Ekologus team, we went through the various processes, familiarised ourselves with the way the company's documentation was managed and structured.

Only when we were sure that Notion would be the best option did we jointly prepare a demonstration of one process, which we went through from start to finish, and when the team accepted our proposal we set to work.

Continuity of implementation

The biggest challenge was to implement a comprehensive solution without disrupting the flow of projects that were already up and running.

We worked in parallel with the documentation, mapping further projects between the existing solution and the new base.

Training and development

Once most of the processes were in place, contractor and client data and projects migrated, we proceeded to implement the team into the new tool. Together with our grant partners, we were also able to raise additional funds to train and develop the solution with the team.

Although the transition from typical ‘table’ management to an advanced database required some work, the intuitive interface and ease of use of Notion meant that the team was able to understand how to use the new tool in a short time.

We also plan to implement AirTable as a tool for managing some particularly complex processes, in order to take full advantage of the capabilities of advanced databases in user-friendly interfaces.

Care and growth

We look after the Ekologus team on an ongoing basis. We react to the reported needs and together work out how to optimise and develop further services and processes on the new platform.

We also constantly monitor the development of Notion as a platform, so that we can keep up to date and implement the latest features and integrate them into the company's processes.
